Making a resolution to revamp your IT in the New Year?

If you’re not, you should. Think back over 2011. Were there many days spent on downtime simply because your server didn’t work? Or because staff couldn’t make it in? Or were busy with clients or at meetings?
We’ll look back over the last 12 months and think, this is the year it all changed. Are you ready for the next step? OK, if you’re teetering on the edge but you’re not sure, here is a guide to what you should be looking for in a Hosted Exchange 2010 provider – what questions you should be asking and what services you can get.
First of all, everyone is different, and every company reflects that. Practices, culture, ethos. We work in different ways and our IT offer should reflect that. So the first step is to think about how you work. What’s important to your business? What are its strengths and what are its weaknesses?
For example, did you listen to the news about email recently? Some businesses think it’s dead, that they don’t use it anymore. But for the majority of us, email is the lynchpin in how we work. How does it work in your office? Do you check email at home? Are you using email more often?
Next, think about your work practice. Do you spend much time out of the office? Do you and your work colleagues spend much time on smartphones updating clients and responding to requests. Would it be useful if you could take your PC with you wherever you go? If you’re nodding then perhaps you need to ask a Hosted Exchange provider about shared calendars, contacts and tasks, public folders and subfolders so that you don’t need to remember to email documents home to yourself to work on, or carry a memory card everywhere with you. Instead you could just log on and have access to the same work files.

Lastly security. You want your IT to be secure, you want your work backed up and private, yet you also want to be able to know it’s safe. So check with your Hosted Exchange provider about back-up, about where it is hosted and how much help you’ll have in migrating across. Hosted Exchange 2010 needs to fit in with your business, not the other way around. When choosing a provider you need to make sure they understand how your business works and what services are most important to you. Making a checklist ensures you’re prepared and you know what questions to ask.
